Court Reporting Services

Welcome to Matrix Reporting (“Company,” “we,” “our,” or “us”). These Terms & Conditions govern the use of our website located at www.matrixreporting.com (the “Site”) and all court reporting, deposition, transcription, videography, and related litigation support services (the “Services”).
By scheduling services or using this Site, you agree to be bound by these Terms.
1. Scope of Services
Matrix Reporting provides professional litigation support services, including but not limited to:

Court reporting and stenographic services

Deposition services (in-person and remote)
-
Legal transcription
-
Videography and audio recording
-
Exhibit handling and document management
All Services are subject to availability and confirmation.
2. Scheduling & Cancellations
Scheduling
Services must be scheduled in advance and are confirmed only upon acceptance by Matrix Reporting.
Cancellation Policy

Cancellations within 24 business hours may be subject to a cancellation fee

Same-day cancellations or no-shows may incur full or partial charges
-
Special services (e.g., videographers, interpreters, real-time reporting) may have stricter cancellation terms
Clients are responsible for notifying all parties of any scheduling changes.
3. Appearance & Minimum Charges

A minimum appearance fee may apply per assignment

Additional fees may apply for extended proceedings, travel, or expedited services
-
Waiting time and delays caused by parties may be billable
Rates will be disclosed at the time of booking or upon request.
4. Transcript Production & Delivery

Official transcripts are prepared by certified court reporters
-
Delivery timelines vary based on selected turnaround (standard, expedited, daily copy, etc.)
-
Rough drafts are not certified transcripts and may not be cited or relied upon as final
Once a transcript is delivered, any requested changes must follow applicable legal procedures (e.g., errata sheets).
5. Transcript Ownership & Distribution

The original transcript is retained by Matrix Reporting unless otherwise required by law

Ordering parties are granted a license to use transcripts for litigation purposes
-
Unauthorized distribution, resale, or reproduction is prohibited
Copies may be provided to additional parties upon request and payment of applicable fees.
6. Remote Depositions & Technology
For remote proceedings:

Clients are responsible for ensuring adequate internet connectivity and equipment
-
Matrix Reporting is not liable for interruptions caused by third-party platforms (e.g., Zoom)
-
Backup recording methods may be used when appropriate
Technical support may be provided but is not guaranteed.
7. Confidentiality
We understand the sensitive nature of legal proceedings.

All proceedings and materials are treated as confidential

We implement reasonable safeguards to protect client data

Confidentiality does not apply where disclosure is required by law or court order
Clients are responsible for ensuring compliance with any applicable protective orders.
8. Client Responsibilities
Clients agree to:

Provide accurate scheduling details (case name, location, parties, etc.)

Notify us of special requirements (interpreters, ADA needs, real-time services)
-
Ensure all participants comply with applicable rules and procedures
Failure to provide accurate information may result in delays or additional charges.
9. Payment Terms

Invoices are due upon receipt unless otherwise agreed

Late payments may incur interest or service suspension

The scheduling party is responsible for payment unless prior arrangements are made
We reserve the right to require deposits for certain services.
10. Compliance with Laws
Services are provided in accordance with applicable:

State and federal laws

Court rules and procedural requirements
-
Certification and licensing standards for court reporters
Clients are responsible for ensuring their use of Services complies with applicable legal requirements.
11. Disclaimer of Warranties
Services are provided on a professional best-efforts basis.
We do not guarantee:

Uninterrupted service
-
Error-free transcripts (though reasonable care is taken)
-
Compatibility with all third-party systems
12. Limitation of Liability
To the fullest extent permitted by law:
Matrix Reporting shall not be liable for:

Indirect or consequential damages
-
Loss of case value, business, or opportunity
-
Technical failures beyond our control
Total liability, if any, shall not exceed the amount paid for the specific Services at issue.
13. Force Majeure
We are not responsible for delays or failure to perform due to events beyond our control, including:

Natural disasters

Power or internet outages
-
Court closures or government actions
14. Modifications to Terms
We reserve the right to update these Terms at any time. Continued use of our Services constitutes acceptance of any changes.
15. Governing Law
These Terms shall be governed by the laws of the State of Oregon, without regard to conflict of law principles.
